LinkedIn data use

1. Who we are

ConnexOS is a membership and community management platform operated by ConnexOS Solutions Limited, a Private Company Limited by Shares registered in the Isle of Man under company number 139160C and a Chapel Tech Limited company. 2. What ConnexOS does

ConnexOS is used by membership organisations, professional associations and business networks to run their communities. It holds the member record, memberships and billing, events, benefits and rewards, and it helps members find relevant opportunities and people within their own community. Each customer organisation runs its own instance for its own members. The platform is in live production use today.

3. Our role in relation to LinkedIn Pages

Our customer, the membership organisation, or one of its member businesses, is the administrator of the LinkedIn Page concerned. ConnexOS would act as that Page administrator’s authorised third-party developer under the LinkedIn Pages Data Portability API.

We will not access a Page we have not been authorised to access. Authorisation is granted by the Page administrator through LinkedIn’s own OAuth flow, and can be withdrawn by them at any time, in LinkedIn or in ConnexOS.

4. What permission we request

A single permission: r_dma_admin_pages_content.

From the data that permission covers, we will use only the organisation Page profile fields:

• Page description and tagline
• Industries
• Staff count range
• Specialties
• Founded date
• Website URL
• Locations

We will not request, retrieve or store any other field the permission may expose. If our intended use changes, we will seek the appropriate authorisation before making that change.

5. What we will use it for

One purpose: to pre-fill and keep current that organisation’s own business profile inside ConnexOS. Membership organisations ask their member businesses for a description, a sector, a size, a location and a website. Those same facts are usually already maintained on the business’s own LinkedIn Page. Asking a member to type them again produces stale profiles and empty directories.

This is Page management on behalf of the Page administrator. Every field retrieved will be presented in ConnexOS as a suggestion, attributed to its source, and applied only when the profile owner explicitly approves it. Nothing retrieved from LinkedIn will overwrite a member’s record automatically.

Before any suggestion is offered, we will corroborate that the Page belongs to the member business, by checking it against the website domain and company registration details the member has already given us.

Our lawful basis for handling this data is the legitimate interest of the member business and of the membership organisation in maintaining an accurate business profile, exercised only where the Page administrator has explicitly authorised the connection.

6. What we do not do

These are standing policies. They apply to us today and will continue to apply if access is granted.

• We do not scrape LinkedIn, or any other platform. We use official interfaces only, as a matter of standing engineering policy.
• We do not use residential proxies, browser extensions, headless browsers or third-party scraping vendors to obtain LinkedIn data.
• We do not buy scraped personal data from data brokers.
• We will not post, publish, schedule or otherwise write anything to LinkedIn. The access we have requested is read-only.
• We will not build profiles about individual people from LinkedIn data. Our intended use is limited to the organisation Page profile fields listed in section 4.
• We will not sell, license, transfer or otherwise disclose LinkedIn data to any third party.
• We will not combine Pages Data Portability data with data obtained through any other LinkedIn API product.
• We will not use LinkedIn data for advertising, for training machine learning models, or for any purpose other than the one described in section 5.

7. Consent, retention and deletion

We will respect the LinkedIn member privacy setting that governs whether member data is shared through this API. Where a member has not opted in, we expect to receive no member identifier, and we will not attempt to reconstruct one.

Retrieved Page data will be held only for as long as it is needed to present suggestions and to keep an approved profile current. A Page administrator can disconnect at any time. When they do, we delete what we retrieved from that Page. Fields the profile owner has already approved into their own ConnexOS profile will stay, because from that point they are simply that member’s own profile content, maintained by them rather than by us. We also delete on request. And on closure of the customer account, unless the law requires us to keep something.

Standardised reference data provided by LinkedIn will be retained no longer than LinkedIn’s terms permit.

If LinkedIn withdraws or terminates our access, we will stop retrieving data and delete what we hold, other than fields already approved by the profile owner into their own record.

8. How the data will be handled

Access tokens will be stored encrypted and will not be exposed to end users. Access to LinkedIn data within ConnexOS will be limited to the customer organisation that authorised it and to the member business whose profile it concerns. Security and compliance documentation is available to customers under NDA, and to LinkedIn on request.
